Migrating From Other Accounting Software Systems

 

 

Importing Data From Other Accounting Programs

You can export data from other Microsoft accounting programs. You then can import master records from those programs or from Real World Classic, Real World Expertise, Great Plains Accounting, Peachtree or QuickBooks into the Small Business Manager database. Master records include customer, vendor, item, and employee records, as well as payment terms, shipping methods, and sales tax information.

Exporting data from Classic 8.6

Use the program file named Classic.exe that’s included on the Small Business Manager installation CD to export data from Classic 8.6. You then can import the exported data into Small Business Manager using the Import wizard.  You may qualify to acquire the software to upgrade to Classic 8.6 as a part of the Small Business Manager purchase.

 

To export data from Classic 8.6:

1. Back up your Classic 8.6 data. Refer to your Classic 8.6 documentation for more information.

2. Start the program file named Classic.exe that’s located on the Small Business Manager installation CD.  (CD:\\Migrations\Classic\Classic.exe)

3. Extract the contents of the file to the top-level folder of your Classic 8.6 installation. This is the same folder where extended file utilities for Classic 8.6 are located.

4. In the top-level folder of your Classic 8.6 installation, start the MIGSBM.bat program to begin the process of exporting data to a master file. When prompted, enter the two-digit company ID for the company you’re exporting data from. The program will export the company data to a file. This might take several minutes.  The name of a log file that will be created by the program will be displayed. The log file will include information about the status of the export.

5. When the data export is complete, the file containing the exported data will appear in the top-level folder of your Classic 8.6 installation. The file will have a .tdf file name extension.

 

Exporting data from Expertise

Use the dynamic link library (.dll) file named dmexpdy2.dll that’s included on the Small Business Manager installation CD to export data from Expertise. You then can import the exported data into Small Business Manager using the Import wizard.

 

To export data from Expertise:

1. Back up your Expertise data. Refer to your Expertise documentation for more information.

2. Copy the dynamic link library file (.dll) file named dmexpdy2.dll that’s located on the Small Business Manager installation CD.  (CD:\\Migrations\Expertise\dmexpdy2.dll)

3. Paste dmexpdy2.dll into the DM folder of your Expertise installation.  (RVA32WIN\DM\dmexpdy2.dll)

4. Start Expertise.

5. In Expertise, start the Export to Dynamics Utility.  (Utilities >> Export to Dynamics Utility)

6. Select the Select All Masters option to export from all modules or select individual modules in the scrolling window.

7. Click Export to begin exporting data for each company to files for each company. This might take several minutes.

8. When the data export is complete, the \RVA32WIN\Data folder will contain new files containing exported data for each company. Each file will appear in a separate folder for each company. The files will have a .tdf file name extension and the name of each company will appear in the name of each file.

 

Exporting data from Great Plains Accounting

Use a program file named GPA.exe that’s included on the Small Business Manager installation CD to export data from Great Plains Accounting. You can import the exported data into Small Business Manager using the Import wizard.

 

To export data from Great Plains Accounting:

1. Back up your Great Plains Accounting data. Refer to your Great Plains Accounting documentation for more information.

2. Start the program file named GPA.exe that’s located on the Small Business Manager installation CD.  (CD:\\Migrations\GPA\GPA.exe)

3. Extract the contents of the GPA.exe file to the top level of your Great Plains Accounting installation folder.

4. Start Great Plains Accounting in the company you want to export data from.

5. Select the Run Special Program option.

6. At the prompt type MIGUTE.exe.

7. Select a destination for the log file that will be created by the program.  The log file will include information about the status of the export.

8. When the data export is complete, the file containing the exported data appears in the top-level folder of your Great Plains Accounting installation. The file will have a .tdf file name extension.

 

Importing from other accounting programs

Use the Import wizard (File >> Import Data) to import master records from another Microsoft accounting program or from Peachtree or QuickBooks into the Small Business Manager database. Master records include customer, vendor, item, and employee records, as well as payment terms, shipping methods, and sales tax information. The wizard verifies the data you select to import to be sure the data is in a format that can be imported successfully.  If you’re importing data from Peachtree or QuickBooks, refer to the documentation for those programs for data export procedures. The file format you create using those programs should match the format of the import templates that were copied to your Small Business Manager installation folder during installation.  You must be logged on to Small Business Manager as the system administrator using the user ID “sa” to complete data import procedures.
